Recording working hours in FP7 projects

When managing EU projects, there are clearly defined regulations as regards recording the time employees are involved in the project work.

Working hours must be documented for personnel costs which are to be claimed. This also applies to people who are employed to work fully on the project.

Minimum specifications on recording working hours 

  • Name of the contractor according to the Grant Agreement (University of St.Gallen, Institute XYZ) 
  • Full name of the employee 
  • Project title in accordance with the EU Grant Agreement 
  • Internal project account number 
  • Interval for recording man hours (usually monthly), depending on the usual practice of the contractor 
  • Hours worked on the project - these must be reliably provable
  • If activities are to be claimed in different categories (research, management, training etc) these must be recorded separately 
  • Name and signature of a superior (project owner)

Comparison with other projects 
It should be possible to reconsiliate the registered time with other projects that the employees concerned are working on. As a result, you can show that no more than 100% of the working hours are charged.

Final report
To make it easier to draw up the final report, we recommend allocating the hours to the different work packages.

Hourly rate
The hourly rate in FP7 projects should be calculated the same throughout the University by using the 1,680 average productive annual hours established by controlling.
